Large Format Printing Best Practices: What Every Decision Maker Should Know Before Going to Print

Large-format printing mistakes are costly, visible, and avoidable. A pixelated graphic on a retail façade, a banner that fades within three months, and a print that looks sharp in the artwork file and wrong on the wall are not production accidents but rather briefing failures. Correct steps taken can affect the final desired outcome. This guide highlights those considerations and offers additional tips to help you make the right decisions.


Start With the End in Mind


Most large-format printing errors originate at the briefing stage. When problems arise, it is mainly due to a lack of purposeful consideration.


Three variables should shape every decision that follows: viewing distance, installation environment, and intended lifespan. A print designed to be read from two metres requires a different resolution, substrate, and finish than one viewed from fifteen. An installation going into an air-conditioned showroom has different material requirements than one going onto an exterior wall. A temporary exhibition display has a different durability threshold than a permanent shopfront graphic. The lack of these considerations at the briefing stage results in rework, reprinting, or a finished product that does not perform as intended.


Resolution Is Not One-Size-Fits-All


Resolution requirements change depending on the physical size of the print and the distance from which it will be viewed. A common mistake is applying the same resolution standard across every large-format job, regardless of how the output will actually be used.


Consider the difference between a close-range retail standee and a roadside billboard. The standee is meant to be viewed from a distance of one to two metres, hence a low-resolution graphic will be immediately visible. Since billboards are massive, using scalable vector formats, such as .ai, .eps, or .pdf files, allows your artwork to be enlarged infinitely without any pixelation or loss of quality. The practical implication: resolution is a function of output size and viewing distance, not a fixed number to apply across all large-format printing work.


What to Ask Your Vendor Before Files Are Submitted


So before the artwork is finalised, these are the questions worth raising:


  • What is the recommended resolution for this output size and viewing distance? A credible vendor will suggest recommendations and not provide a generic answer.

  • What file formats do you accept, and are there format-specific limitations? For large format prints, the industry standards are PDF (specifically PDF/X), TIFF, and Vector Files (.ai, .eps). Do note that for PDF and vector files, unless you embed fonts or outline (path) them, the file may fail to read correctly on the Vendor's computer.

  • What colour profile should the artwork be prepared in? For standard print production, you should prepare your artwork in the CMYK (Cyan, Magenta, Yellow, Key/Black) colour profile. CMYK. Do not use RGB (Red, Green, Blue), which is meant for digital screens that physical CMYK printers cannot reproduce.

  • Will you provide a hard proof or a digital proof before the full run? For high-visibility or high-volume jobs, a physical proof is definitely recommended.


This is due diligence, not micromanagement. A vendor who cannot answer these questions clearly is a risk worth knowing about before production starts.



Matching the Printing Format to the Environment


Outdoor and indoor environments place different demands on printed materials. The decision logic is straightforward: start with where the print is going and what it will be exposed to, then work backwards to material and format.


Outdoor installations face UV exposure, humidity, and in some cases direct rain or foot traffic. Substrates and laminates need to be specified accordingly, and print inks need to be rated for exterior use. A banner printing job for an outdoor roadshow requires different material specifications than the same graphic produced for an indoor exhibition stand construction. Getting this wrong does not just affect appearance; it also affects how long the print lasts before it needs to be replaced.


Indoor environments introduce their own variables. Surface type, ambient lighting, and proximity to foot traffic all affect material selection. A high-gloss laminate that looks strong in a controlled setting can produce significant glare under certain lighting conditions. A lightweight substrate suitable for a temporary display may not be appropriate for a semi-permanent installation.


The principle that holds across both: material decisions follow environmental decisions. Confirm the installation conditions before finalising the format.
